The Executive Assistant will play a critical role by efficiently managing the administrative tasks and schedules of the senior leadership team, enabling the leaders to focus on strategic initiatives and impactful projects that advance the foundation's goals.
Additionally, this role provides essential back-up support to our customer support line, ensuring seamless operations and exceptional service as necessary.

Primary Responsibilities: The following are representative of the duties and responsibilities associated with this position and are not meant to be an all-inclusive list:

  • Provide top-notch administrative assistance: managing calendars, scheduling meetings, agenda coordination, recording expenses, preparing accessible meeting materials using PowerPoint and Word.
  • Coordinate travel plans, including booking flights, hotels, and managing travel receipts.
  • Set up and manage virtual meetings using Microsoft Teams and Zoom, ensuring that all technical aspects, such as audio, video, and screen sharing, are functioning correctly and that all participants can access the meeting without issues.
  • Support the execution of gatherings and events such as centralized meetings, trainings, receptions, conferences, and other activities.
  • Attend board committee meetings and accurately record minutes, documenting key discussions, decisions, and action items while maintaining confidentiality.
  • Assist with meeting agendas as well as pre and post meeting communications
  • Complete other administrative tasks or projects as assigned.
  • Provide back-up support and/or additional assistance to internal Executive Assistants as requested.
  • Provide back-up support for the main Foundation phone line, ensuring caller satisfaction by providing assistance and accurate information.

Essential Requirements: 

  • At least 3 years of experience in executive administrative support.
  • Proven track record of successfully supporting multiple individuals.
  • Experience in taking and managing meeting minutes.
  • Fully proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Expert host competence in Microsoft Teams and Zoom for virtual meeting coordination.
  • Excellent interpersonal and customer service skills, with strong verbal and written communication skills.
  • Organized, dependable, proactive and able to meet deadlines by effectively prioritizing workload.
  • Outstanding attention to detail, able to perform work accurately and efficiently.
  • Reliable and accountable for the quality of work.
  • A team player with the ability to work independently.
  • Excellent time management skills coordinate.
  • Competency with a Customer Relationship Management system (CRM)  preferred.
  • Enthusiastic, takes initiative, and demonstrates strong follow-up.
  • Demonstrated ability to work with sensitive and confidential information.

Position Specifics:

  • Location: Raleigh, NC
  • Work-from-home: Primarily remote with on-site attendance on occasion as needed, or more frequently if preferred
  • Salary range $68,000—$75,000/yr. The salary range is what we reasonably expect to pay for this position.  The ultimate offer will  take into consideration the geographic market, depth of experience, and internal equity.    
  • Annual Incentive Bonus Eligibility up to 3% 
  • Reporting to:  Chief Operating Officer
